Summary
The Office Administrator must have a strong familiarity with telephone systems, computers and software. This role will be the first line of communication between our clients and our company. The ability to offer excellent customer service while working in a fast-paced, team environment.

Job Duties
- Answering all incoming phone calls through the main switchboard and directing them efficiently throughout the organization
- Assisting other departments with scanning requirements
- Overseeing dedicated email addresses within the business to ensure they are being attended to in a timely manner
- Clerical tasks as assigned
- Perform basic management of electronic files (e.g. print, copy, and transfer)
- Access information from a computer and/or maintain a computer database
- Assist other departments with customer follow up phone calls for outstanding quotes
- Assist other departments with supplier follow up to determine lead times
- Perform general office duties such as photocopying, faxing, and binding
- Keep a clean, safe and organized work area.
- Adhere to policies, procedures and safety regulations.
- Report discrepancies to immediate supervisor.
- Follow current standards and procedures.
- Perform other duties as assigned.
Requirements
- High school diploma, GED or equivalent
- Fast and accurate keyboarding skills
- Ability to understand logical processes and be detail-oriented
- Familiar with databases (web-based databases would be an asset)
- Knowledge of Word, Excel, and previous experience with Databases.
- Experience related to general administrative duties.
- Positive upbeat personality
- Exceptional customer service skills
- Ability to adhere to confidentiality when working with sensitive information
- Related copy/mail/clerical experience preferred.
- Willingness and eagerness to learn new tasks
- Ability to work with strong attention to detail and meet or exceed time lines.
